Costs of Down Equipment

I would appreciate if members who track and measure equipment downtime would share the tools (spreadsheets, logs, other) that they use, and also tools they use to track (items like hours of operation) and schedule when equipment needs routine maintenance.

We do not track down time. We do track jobs and check very close the actual vs estimated hours. If there is a difference we do dig deeper to find out the circumstances, additionally we track equipment maintenance and repair. We have had the luxury of additional equipment. If a mower, trimmer or blower goes down we've been lucky enough to have additional pieces on the trailer. We currently have had great success in our expansion efforts. We are now losing the luxury we have been accustomed to. Very timely discussion for our organization. We look forward to hearing how others address this profit vacuum.

Do you track the amount of time your equipment is down throughout the year and do you budget for downtime in your job estimates?
